Invite others to join a collaboration

After a collaboration lead creates a collaboration, both collaboration leads and collaboration members can invite other users to participate in it.

To invite other users to join a collaboration:

  1. Click the Collaboration tab. (If you are in a specific collaboration workspace, click Collaborations List.)

    The collaboration main page appears.

  2. In the actions column of the Ongoing Collaborations pane, next to the desired collaboration, click Invite. If you do not see the desired collaboration, you may need to click View All to see the complete list.

    The Invite Users page appears.

  3. Select one of these options:

Invite users for collaboration

Invite others to join the collaboration as collaboration members. This option is only available to collaboration leads.

Invite share users

Invite others to join the collaboration as collaboration share users. A collaboration lead must approve these invitations before eArray sends them.

  1. Click Next.

    The Invite Users page appears.

  2. Specify the following:

Enter Member Invitee E-mail

(Available only to collaboration leads. Appears if you chose Invite users for collaboration on the previous page.) Type the e-mail addresses of the users to designate as collaboration members, separated by semicolons.

To add members of your workgroup who are registered eArray users, you can select their e-mail addresses from a list:

  1. Click Select and Add.
    A user selection page opens in a new window.

  2. In E-mail type all or part of the desired e-mail address, then click Search. To retrieve a list of all users in the workgroup, leave E-mail blank.

  3. Select user(s) to invite to the new collaboration. Use the following as a guide:

    • To select a user, click the name of the user, then click Add. You can select more than one user at a time.

    • To navigate among multiple pages of e-mail addresses, use the Pages links.

    • To select all users on all pages, click Add All.

    • To start over, click Remove All.

The selected users appear in Selected Users.

  1. Click Done.
    eArray transfers the selected users to Enter Member Invitee E-mail.

Enter Share Invitee
E-mail

(Appears if you chose Invite share users on the previous page.) Type the e-mail addresses of the invitees to designate as Collaboration Share Users, separated by semicolons.

You can also select invitees from a list — Click Select and Add, then continue as described above in Enter Invitee E-mail.

Note to Invitees

(Optional, but recommended) Type text to include as part of the e-mail that will be sent to your invitees. Your note does not need to include instructions on how to join the collaboration, since eArray already provides this information in the e-mail.

  1. Click the Invite Users button.

    A message appears, with the list of the e-mail addresses you specified, and the status of each. If you are not a lead, a lead will need to log in to eArray and approve the share user invitations you have extended.

    The invitations direct invitees who are eArray registered users to the eArray login page. It directs those who are not registered users to the eArray registration page.

    When a registered invitee logs in to eArray, the invitation appears in the Invitations to Me pane of the collaboration main page, where they can accept the invitation and participate in the collaboration.

    A message informs you that your collaboration has been created successfully.

  2. Click Close.

    You can monitor the status of the invitations in the Invitations Sent by Me pane of the collaboration main page. As the creator of the collaboration, you have the role of collaboration lead, and are responsible for managing the collaboration.
