Create a collaboration

You can create a collaboration if you are a registered user in eArray. When you create a collaboration, eArray assigns you the role of collaboration lead.

When you create a collaboration, you name it and provide a description and search keywords. You also list the e-mail addresses of the people you want to invite to join the collaboration, either as collaboration members or collaboration share users. Although your invitees can be registered eArray users, they do not have to be — eArray directs unregistered invitees to the Registration page, where they can become registered users before they join your collaboration. You can specify the e-mail addresses of your invitees when you create the collaboration, but you can also add or remove invitees at any time after this.

eArray automatically generates invitation e-mails and sends them to your designated invitees. You monitor the status of those invitations in the Invitations Sent by Me pane on the collaboration main page.

  1. Click the Collaboration tab.

    The Collaboration main page appears.

  2. In the Ongoing Collaborations pane, click Create New.

    The Create New Collaboration page appears.

  3. Specify the following details about the collaboration and the people that you want to invite to join it. All are required, except as noted. To start over at any time, click Reset.

Collaboration Details

Collaboration Name

Type a meaningful name for the collaboration. This is the name that eArray uses to identify the collaboration in search results, lists, and invitation e-mails.

Description

Type a brief description of the collaboration.

Keywords

Type search keywords, separated by commas.

Invitee Details

Enter Member Invitee E-mail

Type the e-mail addresses of the users to designate as collaboration members, separated by semicolons.

To add members of your workgroup who are registered eArray users, you can select their e-mail addresses from a list:

  1. Click Select and Add.
    A user selection page opens in a new window.

  2. In E-mail type all or part of the desired e-mail address, then click Search. To retrieve a list of all users in the workgroup, leave E-mail blank.

  3. Select user(s) to invite to the new collaboration. Use the following as a guide:

    • To select a user, click the name of the user, then click Add. You can select more than one user at a time.

    • To navigate among multiple pages of e-mail addresses, use the Pages links.

    • To select all users on all pages, click Add All.

    • To start over, click Remove All.

The selected users appear in Selected Users.

  1. Click Done.
    eArray transfers the selected users to Enter Member Invitee E-mail.

Type the e-mail addresses of  users to designate as collaboration share users, separated by semicolons.

You can also click Select and Add to select existing users in your workgroup, as described above in Enter Member Invitee E-mail.

Note to Invitees

(Optional, but recommended) Type text to be included as part of the e-mail that will be sent to your invitees. Your note does not need to include instructions on how to join the collaboration, since eArray already provides this information in the e-mail.

  1. Click Create.

    The Terms and Conditions page appears.

  1. Read the Terms and Conditions, then click I Agree. You must agree to the Terms and Conditions to create the collaboration.

    eArray creates the collaboration, and sends invitation e-mails to the addresses you specified. The invitations direct invitees who are eArray registered users to the eArray login page. It directs those who are not registered users to the eArray registration page.

    When a registered invitee logs in to eArray, the invitation appears in the Invitations to Me pane of the collaboration main page, where they can accept the invitation and participate in the collaboration.

    A message informs you that your collaboration has been successfully created.

  2. Click Close.

    You can monitor the status of the invitations in the Invitations Sent by Me pane of the collaboration main page. As the creator of the collaboration, you have the role of collaboration lead, and are responsible for managing the collaboration.
